Vacation Rental Home Policies
RESERVATIONS AND RENT
: Upon signing and returning this agreement with a prepayment of 50% of your rent, your reservation will be confirmed. The balance of the total due must be paid in full 28 days prior to Tenant’s occupancy. A personal check cannot be accepted for last minute reservations which are made less than 14 days prior to arrival. All last minute reservations within the 14 day deadline must be paid for using a credit card, cashier’s check or money order.
A security deposit is required for occupancy. The security deposit will be refunded within 45 days from the date the term end as stated in the Rental Agreement.
All payments must be made in the form of a check, cash or money order.
*All credit card transactions have an additional convenience fee of $29.95, which is charged by Vacation Rent Payments, an outside company. The convenience fee rate is subject to change at any time.
CHECK-IN AND CHECK-OUT TIMES
: Check-in time is anytime after 3 p.m. on the date the term begins as stated in the Rental Agreement. Check-out time is anytime before 10 a.m. on the date the term ends as stated in the Rental Agreement. It is necessary to contact an agent at Deer Ridge Property Management at least one day prior to your arrival to arrange for keys, map and directions to the home and any other special arrangements which may be necessary.
If you should arrive after the office is closed, your keys and welcome packet will be in the black pickup box in the parking lot of our office. THE PICKUP BOX REQUIRES A CODE, you must contact the office prior to your arrival to receive the access code.
CANCELLATIONS : Please refer to paragraph 10 of the Vacation Rental Agreement which reads as follows: ”In the event of a cancellation by Tenant, Tenant shall receive a refund of all payments made by Tenant, less an administrative fee of $55.00 if the premises are re-rented on the terms set forth herin. If the premises are not re-rented on the terms set forth herein, Tenant will not be entitled to a refund of any rent payment made here under.”
TRIP INSURANCE: For your added protection the premium for trip insurance has been added to your total amount due. For more information on this unique coverage please see the enclosures sent with this contract. If you do not desire to have trip insurance please initial the contract where indicated and deduct the trip insurance charge from your initial payment. You are under no obligation to accept this coverage.
COMMUNITY RULES & REGULATIONS : All Tenants, family members and guests shall comply with and abide by all existing rules and regulations of the community and shall not cause or allow any illegal or destructive activities to take place in or on the premises or in the community.
TELEPHONE USE : Local telephone charges are included in your rent. Long distance and toll calls are not permitted unless made using a calling card or credit card. All calls outside of Transylvania County are toll calls. Telephone number local prefixes are: 862, 877, 883, 884, 885, 966. Cell phones do not work in many parts of the mountains; therefore you should not depend on cell phones for long distance calling.
GARBAGE SERVICE : Trash removal is the responsibility of the tenant. All trash and garbage must be removed upon vacating the rental unit and all food must be cleaned out of the refrigerator and freezer. Instructions on where to take the trash is included in your welcome packet. There will be at least a $5 deduction from your security deposit if any trash or food is left in the unit. Trash collection can also be arranged upon request.
PETS : Pets are not permitted in any home unless specifically allowed by the property owner. If permitted, the tenant is required to pay a nonrefundable pet deposit of $125 per animal. This fee is for the privilege of having the pet(s) on the premises. Any damage caused by the pet(s) will be charged out of the security deposit at the time the Tenant vacates the premises and the final walk through inspection is made by an associate. Flea and Tic pest removal is included as damage and can be charged out of the security deposit.
SMOKING : Smoking is not permitted in any of the homes. If the odor of smoke, or damage from smoking is evident, the Tenant will be charged for clean up. The no smoking policy is strongly enforced for the courtesy of other non smoking guests.
CLEANING SERVICE
: Cleaning service is not provided as part of the rent during tenancy. The Tenant is responsible for normal house cleaning during their stay. The regular cleaning service will be scheduled to arrive at check out time on the date the term ends as stated on the Rental Agreement. The cleaning service will make the beds, fold and store extra linens, towels, vacuum, and clean all bathrooms and the kitchen. Any additional cleaning which may be required will be charged out of the Tenants security deposit.
*If more than one set of linens or towels per bed are left dirty in the house, the tenant will be charged for excessive laundry.
CHECKOUT PROCEDURES:
Tenants understand that it is their responsibility to:
- Remove all trash from unit
- Lock all windows and doors
- Turn off all appliances and water faucets
- Set heat to 60 degrees in cold weather and 75 degrees in warm weather
- Turn off all lights
- Wash all dishes
- Leave the premises in a sanitary condition
- Only leave one set of linens and towels per bed to be laundered or, additional charges may apply.
ERRORS AND OMISSIONS: Every effort has been made to ensure that the information in this agreement and features / descriptions listed on the website and marketing materials are accurate. Changes in amenities, bed sizes, general accommodations, owner reservations and rate changes can and do happen. Some changes that occur are unknown to Deer Ridge Property Management and may prevent timely notification to the tenant. If an error does exist, Deer Ridge Property Management does apologize however, such errors do not entitle the guest to any refund of money or change of property or dates.
